Slough, Windsor and Maidenhead Beekeepers’ Society (SWMBKS) is a club for (mainly) hobbyist beekeepers in the Thames Valley area. We aim to promote beekeeping to the general public and to encourage best practices in beekeeping amongst members to ensure we have healthy, productive bees. We are affiliated to the British Beekeepers’ Association of Great Britain (BBKA.) Members (other than Friends and Family members) automatically become members of the BBKA when joining our Society.
We collect the following data about you: Your name, address, telephone number(s), email address and, where applicable, the number of hives of bees you have (or plan to have.)
Why do we need your data?
We need your data to provide you with information about the Society’s activities and coordinate activities related to beekeeping such as equipment hire and bulk purchases. We will not collect any personal data from you that we do not need to support your membership.
Who do we share your data with?
Members’ (other than Friends and Family members) data is shared with the BBKA in order that the BBKA can mail you your membership card, welcome pack, BBKA News, and provide you with access to online BBKA resources and other membership benefits.
We require members with bees to have Bee Disease Insurance (BDI.) We share these members data with BDI so that BDI can issue insurance certificates and liaise in the event of a claim.
If you keep bees we also share your data with the National Bee Unit (NBU) so that the bee inspectors can contact you in the event of bee disease in your area. The NBU will also send you occasional email alerts about bee health and welfare.
We share your data with members of the Committee of SWMBS and certain individual members who support the Committee in their work, so that we can provide membership benefits or seek your views on matters relating to the Society or the BBKA.
We do not share your data with the general membership of SWMBKS or any other organisation.
What do we do with your data?
Initial enquiries via our website are collected and retained on Weebly’s servers for no more than 12 months. In addition to the information provided in the enquiry we also collect enquirer’s IP addresses to help us determine whether enquiries are bona fide.
New Membership applications are collected using Google Forms on Google’s servers. We use these free services to keep down the cost of membership. Both Weebly and Google have operations outside the UK/EU and it is highly likely that your information will be transmitted and stored outside the UK/EU.
It is a condition of becoming a Member of SWMBKS that you consent to us being able to transfer your data outside the UK/EU.
During 2019 we started moving over to the BBKA/BDI eReturns2 cloud based membership system. This means membership data are now uploaded to and stored on the eReturns2 database. eReturns2 is fully GDPR compliant - you can find out more here.
How long do we keep your data?
We keep your data until you cancel your membership or your membership lapses because you failed to renew. In the event of cancellation your data are removed within 1 month; in the event of membership lapse your data are removed after 3 months.
What are your rights
If you believe or know the information we process about you is incorrect you can request to see this information and have it corrected or deleted. You can request that we remove your personal information from our databases at anytime, but as we will then not be able to provide the services of the Society your membership will lapse.
